How to Book a Chauffeur Airport Transfer

By Noble Ball · Updated

Enter the pickup and drop-off addresses, the date and local time, your passengers and bags, and add your flight number in the options. Choose a vehicle category with room for your group, add your contact details and request a quote. Nothing is booked or paid until the rate is confirmed.

What you need before you start

Have four things ready: the pickup address (a home, hotel, office or the airport itself), the destination, the date and time of the ride, and how many passengers and bags are traveling. If you are being picked up from a flight, keep your flight number handy as well.

Times on the request form are local to the pickup location. For a pickup at an airport in another time zone, enter the time as it will read on a clock at that airport, not where you are booking from.

Step 1: describe the ride

Choose "One way" for a transfer to or from the airport. Enter the pickup location and the destination; address suggestions may appear as you type. If you need to stop on the way, for example to collect a colleague, add up to four stops, each with its own address.

Open "Options and flight details" to add your flight number, up to three child seats, or a note that you are traveling with a pet. The flight number is optional, but including it means your flight details are part of the request from the start.

Step 2: choose a vehicle with room for your bags

The form only offers the vehicle categories that fit both your passengers and your bags. Airport trips usually involve more luggage than a ride across town, so count every suitcase and larger carry-on. A Business Class or First Class sedan fits up to three passengers and three bags; a Luxury SUV up to five; a Business Van up to seven; a Sprinter up to sixteen.

Vehicles are shown as examples, such as a Mercedes-Benz E-Class "or similar". The assigned vehicle is confirmed with your quote.

Step 3: contact details and your quote

Add your name, email address and a phone number with its country code. You can add a company or agency reference and any preferences, such as a meet and greet or accessibility needs, in the notes.

Sending the request does not book a vehicle and no payment is taken online. You receive a reference and a private tracking link. Your quote appears on that page; once you accept it and the ride is confirmed, the chauffeur's details are shared there.

When to book

Every ride is requested in advance, with a date and time. As a general rule, the earlier you send the request, the more time there is to confirm the rate and the vehicle before you travel, which matters most around holidays, conferences and early-morning flights.

For an arrival, think about the time you will realistically be ready to leave: international arrivals often mean passport control and baggage claim before you reach the curb. Mention your plans in the notes so they are part of the request.
