Start with the real itinerary

List every meeting in order with the building address and the time the traveler must be inside. Include hotel departures, airport legs, lunches and the final drop-off so transport is planned as one operating schedule.

Use complete addresses, local dates and local pickup times. If a flight is involved, add the flight number; if several movements are involved, list them in order so the request reflects the day you are actually planning.

Choose the booking structure that fits

Hourly service is often useful for a roadshow because one chauffeur and vehicle remain available between appointments. Separate transfers can still make sense when there are long gaps or when the day ends in another city.

For airport travel, remember that scheduled landing time is not the same as curb-ready time. Baggage claim, international formalities and the walk through the terminal can all affect the pickup time.

Review before you confirm

Compare the quoted time block with the meeting agenda and verify the stop order, hard arrival times and any conditions for waiting or extending the schedule.

A practical final check

Before travel, compare the confirmed ride with the latest itinerary for corporate roadshows. Check the pickup address, local time, destination or duration, passenger count and bag count together instead of checking each item in isolation.
